Registration Terms

  1. Each application must be accompanied by a $500.00 deposit for it to be complete.
  2. The following is included in the fees:
    • Daily lunches
    • Morning and afternoon snacks
    • Daily swim period (instructional and recreational; weather dependent)
    • Camper knapsack
    • Camper t-shirt
    • Cabin photo
  3. No verbal registrations will be accepted. All applications must be completed through our online registration system.
  4. The camp only accepts registrations for our existing sessions. We do not pro-rate fees under any circumstances if a camper needs to miss days for any reason.
  5. All fees must be paid in full by May 1st.
  6. Sibling Discounts: Discount for 2nd sibling is $100.00 per month, Discount for 3rd sibling is 25% off, Discount for 4th or more sibling is 50% off. The discount will be taken from the sibling attending the shorter programme. All campers must be siblings and reside in the same home.
  7. Any incorrect and/or overpayment of Electronic Bill Payments resulting in a refund needing to be issued via cheque (the only method of refunds for electronic payments), a $25.00 administrative fee will be deducted from the refundable amount.  If the refundable amount is below $25.00, a refund will not be issued. Please ensure you enter the correct amounts prior to confirming any Electronic Bill Payment.
  8. No camper will be admitted to camp unless the balance of fees are paid in full (balance is zero), and all necessary forms and paperwork are submitted (per CampBrain) prior to the commencement of the camp term.
  9. Parents/guardians are responsible for confirming that their home address on file is up-to-date before submitting registrations. In the event you move homes, it is your responsibility to inform the camp immediately so that our records are updated. This is especially important for those who are using busing service. If you know ahead of time that you will be changing addresses between now and the start of camp, and you have opted in for depot or door-to-door busing service, please inform the camp immediately. To be clear, if you opt in for busing service at the time of registration, and move homes outside of the busing boundaries as shown on our website, the camp will no longer be able to provide busing service to your new home.   
  10. Parents/guardians who have opted in for busing service agree and acknowledge that they have read all the information outlined on our website regarding bus transportation, including but not limited to the busing services available based on the outlined boundaries, and the process for updating your home address on file, and the consequences of not providing up-to-date information to the camp with regards to address and service changes. 
  11. Parents/guardians agree that they have provided all the necessary information, including but not limited to physical health information, psychological health information, behavioural information and strategies for the camp to properly care for their camper(s). Parents/guardians agree that if at the discretion of a Director the camp feels it cannot properly care for their camper(s), the camper(s) may be dismissed from camp, and the camp is not obligated to issue any sort of refund or credit.
  12. Parents/guardians agree to allow their camper(s) to participate in all camp activities and in any supervised trips or programs not taking place on the camp property.
  13. Parents/guardians agree to allow their camper(s) to be photographed and video-recorded for camp marketing purposes, and understand that names of campers will not be used in marketing material unless authorization is granted in writing by parents/guardians.
  14. Parents/guardians agree to allow camp officials to act on their behalf in case of an emergency.
  15. Parents/guardians agree that all campers must be toilet trained prior to the start of their camp session.
  16. Parents/guardians agree that should the camp be unable to operate programs for any reason, prorated refunds and/or credits and/or make-up days will not be issued. 
  17. Parents/guardians agree to release and indemnify Crestwood Valley Day Camp from any and all claims for damages arising as a result of any accident, injury or otherwise, sustained by the herein named camper(s) arising from participating in any camp activities where negligence is not the cause.
  18. Parents/guardians understand that Crestwood Valley Day Camp protects the privacy of personal information and personal health information in accordance with prevailing privacy legislation and with its Privacy Policy. Parents/guardians hereby consent to the collection, use and disclosure of personal information and personal health information about myself, the camper and the camper’s family for the purpose identified in the privacy policy.
  19. By completing the registration process, you acknowledge and understand all of our policies as outlined at the time of registration, as outlined on our website (www.crestwoodcamp.com), and our Family Handbook (to be distributed before camp begins). This includes and is not limited to our Registration, Cancellation & Grouping Policy (which addresses registration terms, cancellations and refunds, and cabin groupings), our Health & Safety Policy (which addresses health, wellness, medication, anaphylaxis, serious medical conditions, extreme weather conditions, and security and visitors), and our Camper & Family Behaviour Policy (which addresses our camper code of conduct and our parent/guardian code of conduct). You also acknowledge and understand that all camp policies are subject to change at any time.    

Payment Options

We accept the following methods of payment:

  • Electronic Bill Payments
  • Credit card (Visa, Mastercard and Amex). There is a 3% convenience fee applied to use a credit card. 

Cash, cheque, or email transfers are not accepted forms of payment. 

At the time of registration a $500.00 deposit is due to complete each camper’s application. The balance can be paid in three installments (March 1, April 1 and May 1) or in one installment (May 1). 

Session Changes

(i.e. adding or reducing sessions, these are NOT cancellations)

Changes or Switches to Camp Sessions or Programs:

  • Crestwood offers extensions of 2 or 4 weeks ONLY (based on availability). 
  • Changes made before January 1st, there will be no financial penalty.
  • Changes made between January 1st and May 1st, will be subject to a $100.00 administration charge.
  • Changes made between May 1st and May 31st, will be subject to a $200.00 administration charge.
  • Changes made between June 1st and June 30th, will be subject to a $300.00 administration charge.
  • No Changes can be made after June 30th.

Cancellations & Refunds

(i.e. full cancellation of a camper/campers; no longer attending camp for any sessions)

  1. For cancellations made for any reasons from the time of registration until December 31st, the deposit is refundable less a $250.00 administrative fee per camper.
  2. For cancellations made for any reason between January 1st and May 1st, the deposit is non-refundable.
  3. For cancellations made for any reason between May 1st and June 1st, 50% of the total fees are refundable.
  4. For cancellations made for any reason after June 1st, no refund or credit will be provided.
  5. No refunds or credits will be made for camp days missed due to general illness or personal matters. 
  6. No refunds or credits will be issued for camp days or any portion of time missed due to extreme weather conditions. To be clear, the camp reserves the right to close camp operations at any point in time if it is deemed necessary for the health and safety of our campers, family members, and staff.  
  7. Full days or any portions of time missed cannot be made up in other sessions.
  8. Non-refundable deposits cannot be allocated to siblings/friends or to camp for any future summer in the event of a cancellation.

Cabin & Bus Groupings

  1. Campers are grouped by their birth year. For Nursery, JK, and SK-aged campers, cabin groups are co-ed based on registration and grouping requests. Once campers have completed Grade 1, the cabin groups are divided by gender. We create groups based on many factors, including and not limited to:
  • Past cabin at Crestwood
  • Particular interests of the camper
  • School
  • Extracurricular activities
  • Friend requests
  1. To ensure an easy transition into camp, we do everything possible to guarantee at least one grouping request. All grouping requests are taken during the application process or in writing to the camp office. All grouping requests must be made by May 1st. 
  2. Campers in the Sports Academy are in a separate group. Campers are divided within the Academy based on their skill level for training.  Games are played as a whole group.  The entire group also travels around to swim, lunch, snack and most of their camp activity together.
  3. No grouping or timing requests are taken for buses and requests submitted with the application do not apply to buses. All routes are organized to maximize efficiency.
  4. Please note that the Directors have the discretion to not honour cabin requests if they feel, in the best interest of the camper and the camp staff, to have them placed in a different cabin group.
